Privacy Policy – Dodden Ltd
This policy explains what personal data we collect through dodden.co.uk and our Google Ads campaigns, why we collect it, and what rights you have over it.
WHO WE ARE
Dodden Ltd (“Dodden”, “we”, “us”) is a low-energy construction and MVHR (Mechanical Ventilation with Heat Recovery) design, installation and servicing business based in Somerset, trading since 2009 and serving Somerset, Bath and Bristol.

THE PERSONAL DATA WE COLLECT
When you get in touch with us, we collect: your name; your email address; your phone number (where you provide it, including via our Google Ads enquiry form); and any project details or messages you choose to share with us. We do not knowingly collect any special category data (such as health or financial information) and ask that you don’t include this in enquiry messages.
HOW WE COLLECT YOUR DATA
We collect data directly from you when you fill in the contact form on dodden.co.uk, submit an enquiry through one of our Google Ads lead forms, or email or call us directly.
WHY WE USE YOUR DATA, AND OUR LAWFUL BASIS
We use your personal data to respond to your enquiry, discuss your project, and provide a quote where requested. Our lawful basis for this is legitimate interests (UK GDPR Article 6(1)(f)) and, once a project is agreed, performance of a contract (Article 6(1)(b)). We do not use enquiry data for ongoing marketing beyond responding to the specific enquiry.
WHO WE SHARE YOUR DATA WITH
We don’t sell your data. We share it only with service providers who process it on our behalf: Google (Google Ads), to receive and manage enquiries submitted through our ad lead forms and for ad conversion tracking; Squarespace, our website and contact form hosting provider; Microsoft 365, our email and office software provider; and Dropbox, secure file storage for project documents. Each of these providers has its own privacy policy governing how it processes data on our behalf.
INTERNATIONAL TRANSFERS
Google, Microsoft and Dropbox may process data on servers located outside the UK, including in the United States. Where this happens, it is covered by their respective standard contractual clauses or other UK-recognised data transfer safeguards.
HOW LONG WE KEEP YOUR DATA
Enquiry data (from people who don’t go on to become customers) is kept for 36 months from last contact, then deleted. Where an enquiry becomes a project, records are kept for as long as needed for the project plus any statutory period afterwards (e.g. accounting records are generally kept for 6 years to meet HMRC requirements).
COOKIES AND WEBSITE ANALYTICS
Our website is built on Squarespace, which sets essential cookies needed for the site to function. At the time of writing, Google Ads conversion tracking is not yet active on dodden.co.uk, so no advertising cookies are currently set. If and when conversion tracking is switched on, this policy and the website will be updated to include a cookie consent banner, as UK rules (PECR) require consent before non-essential tracking cookies are set.
YOUR RIGHTS
Under UK GDPR, you have the right to access the personal data we hold about you, ask us to correct inaccurate data, ask us to delete your data, restrict or object to how we use your data, request your data in a portable format, and withdraw consent at any time where consent is our basis for processing. To exercise any of these rights, email Enquiries@dodden.co.uk. We’ll respond within one month. If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office (ICO): ico.org.uk, or by phone on 0303 123 1113.
